Parade Committee

Overview

The Late Knight Warriors Parade Committee is responsible for planning, preparing, and executing all parade participation throughout the year. While we don’t have to sign up for all of these parades, we do have the ability to participate in:

  • Christmas Parades (multiple towns)
  • St. Patrick’s Day Parades (multiple towns)
  • July 4th Parade (West Islip)

At the center of our presence is the Late Knight Warriors float, which requires ongoing evaluation, repairs, and improvements to ensure it continues to represent our energy, pride, and mission.

Core Objectives

To create a high-impact, memorable parade presence that represents Late Knight Warriors with pride—while strengthening community relationships, increasing visibility, and delivering an engaging experience for both members and spectators throughout the year.

  • Maintain a parade-ready float that reflects LKW identity and values
  • Ensure safe, compliant, and well-staffed parade entries
  • Deliver consistent, positive community visibility and engagement
  • Optimize budgeting, procurement, and maintenance processes for cost-effective operations
  • Build and sustain a reliable volunteer base and clear role assignments
Key Initiatives
  • Float Condition & Improvement Program
    • Regular inspections, repair schedule, and upgrade roadmap (lighting, sound, structural reinforcements, weatherproofing, branding/graphics)
  • Annual Parade Calendar & Logistics Plan
    • Confirm parade commitments, route logistics, permits, towing/vehicle needs, staging plans, and post-parade breakdown

Committee Structure & Roles

Leads the committee and oversees all operations.

  • Maintain timelines, milestones, and deadlines
  • Ensure alignment with LKW mission, values, and goals
  • Recruit and organize committee members and parade participants
  • Lead and facilitate committee meetings
  • Oversee all committee managers for accountability and execution
  • Collect estimates for materials, repairs, and event costs and coordinate budget approvals with the board
  • Ensure financial accountability and transparency (Track spending, receipts, and expenses)

Manages organization, documentation, and coordination.

  • Schedule meetings and build dates (Director + at least one board member present)
  • Prepare meeting agendas
  • Record and distribute meeting minutes
  • Manage parade applications and follow-up requirements
  • Maintain organized committee records

Leads all float construction, repair, and design efforts.

  • Assess float condition and repair needs
  • Oversee all build and repair days
  • Ensure float is structurally safe and parade-ready
  • Provide hands-on leadership during construction and setup

Ensures safety and compliance are upheld.

  • Risk assessments
  • Insurance verification
  • Driver/operator qualifications
  • First-aid plan
  • On-route communications

Leads fundraising and resource acquisition.

  • Raise funds for float repairs, materials, and parade fees
  • Source donated materials, tools, storage, and transportation support
  • Coordinate build-day support (food, supplies, etc.)
  • Identify and secure float storage solutions

Leads storytelling, content capture, and visibility.

  • Capture photo and video during builds and parades
  • Go live during key parade and build moments
  • Assist the Marketing Director on social content (TikTok, Instagram, Facebook), as needed
  • Coordinate with Marketing Director on promotional efforts, as needed
  • Help amplify LKW presence in local media and community pages

Support the committee in a variety of ways based on interest and skill.

  • Assist with float builds, repairs, and logistics
  • Support parade day execution
  • Participate in parades
  • Contribute without holding a leadership role
